User roles in XTM Cloud

There are predefined and configurable user roles available in XTM Cloud.

Each one of the predefined user roles offers a different level of access to XTM Cloud. Users can have one or more roles in the system.

Note

Some of the roles cannot be combined. For example, if you have assigned a Project Manager role to a user, the same user cannot be a Limited Project Manager (PM - projects & customers, or PM - project creator & viewer).

The conflicting roles will be grayed out on the Roles list in the General info section, during user creation or editing.

Configurable user roles available in XTM Cloud:

  • PM - project creator & viewer.

  • PM - projects & customers.

The Limited Project Manager roles are available by default, but you can customize them. To do so, contact XTM Support:

User roles related to the Projects require cost approval feature:

  • Cost Manager – This role is available if XTM Cloud Administrator selected the Projects require cost approval checkbox in Configuration > Data > Estimates > Cost settings. Users with the Project Manager role can be configured as Cost Managers for the relevant customer in the customer settings (Customer list > [customer name] > Edit > Basic information). Cost Managers can request approval of the project costs in the Project Editor > Estimates > Costs tab.

  • Cost Approver – User with this role can be created by selecting Users > User list > Add user if XTM Cloud Administrator selected the Projects require cost approval checkbox in Configuration > Data > Estimates > Cost settings. Cost Approvers can be assigned to the relevant customer in the customer settings (Customer list > [customer name] > Edit > Basic information). Cost Approver is a limited PM role with cost approval rights. They can approve or reject costs for the projects created by all Project Managers for the relevant customers. They can do so in the Project Editor > Estimates > Costs tab.

  • Requester – User with this role can be created by selecting Users > User list > Add user if XTM Cloud Administrator selected the Projects require cost approval checkbox in Configuration > Data > Estimates > Cost settings. Requester is a limited PM role with cost approval rights. A Requester can only approve or reject costs for the projects which they have personally created. They can do so in the Project Editor > Estimates > Costs tab.
