Adding LSP access rights

You can restrict a subcontractor's (LSP's) access to just selected resources, e.g. some customers, their translation memory and terminology.

Important

Only XTM Cloud Administrators can edit LSP details.

Some settings are mandatory. They are marked with the red asterisk icon asterisk-solid.png.

  1. Select Users > LSPs.

  2. In the LSPs tab screen, find the relevant subcontractor.

  3. Select the context menu icon ellipsis_vertical_context_menu_brand_refreshed.svg on the left-hand side of the LSP name.

  4. In the list, select lock_open_brand_refreshed.svg Access rights.

  5. In the lock_open_brand_refreshed.svg Access rights tab screen, decide which settings to enable. Settings are divided into sections:

    1. Customers.

      In this section, you can make these settings:

      1. Customers. Select the relevant option:

        • All customers (default) – the LSP can be assigned to projects for all customers in your XTM Cloud instance. They will also automatically get access to newly created customers.

        • Selected customers – in this case, from the list, select all customers that the LSP can have access to. It will be possible to assign them to projects for the specified customers. They will not get access to any newly created customers until you add these customers to their list.

      2. Confidential customers. For details, see Confidential customers in Customer Editor – Edit. Select the appropriate setting for this checkbox:

        • cleared (default) – the LSP has no access to any confidential customers created in your XTM Cloud instance. They cannot be assigned to projects created for these customers.

        • selected – in this case, specify if the LSP should have access to:

          • All confidential customers – the LSP can be assigned to projects created for all confidential customers. They will also automatically get access to newly created confidential customers.

          • Selected confidential customers – in this case, from the list, select all confidential customers that the LSP can have access to. The LSP can only be assigned to projects created for these confidential customers. They will not get access to any newly created confidential customers until you add these customers to their list.

    2. LQA.

      In this section, you can make these settings:

      1. Show LQA results for evaluee. Select the appropriate setting for this checkbox:

        • cleared (default) – the LSP has no access to their own LQA results (when they have acted as an evaluee).

        • selected – the LSP has access to their own LQA results (when they have acted as an evaluee). If you select this option, the LSP sees an additional LQA sub-tab in their Tasks tab. In it, they can view their own LQA results.

          Also, two additional checkboxes are displayed at the bottom of the LQA section: Show simple LQA report and Show extended LQA report. Use them to specify if the LSP can download their LQA results, and in which form.

      2. Show LQA results for evaluator. Select the appropriate setting for this checkbox:

        • cleared (default) – the LSP has no access to the LQA results for other users or LSPs (when they have acted as an evaluator).

        • selected – the LSP can access the LQA results for other users or LSPs (when they have acted as an evaluator). If you select this option, the LSP sees an additional LQA sub-tab in their Tasks tab. In it, they can display the LQA results for other users or LSPs.

          Also, two additional checkboxes are displayed at the bottom of the LQA section: Show simple LQA report and Show extended LQA report. Use them to specify if the LSP can download LQA results for other users or LSPs and in which form.

      3. Show simple LQA report. This checkbox is only displayed if the Show LQA results for evaluee and/or Show LQA results for evaluator has been selected. Select the appropriate setting:

        • cleared (default) – the LSP cannot download simple LQA reports, from the Tasks > LQA tab.

        • selected – the LSP can download simple LQA reports, from the Tasks > LQA tab. They can either only download reports for projects in which they have been an evaluee, an evaluator, or both. That depends on the settings made in Show LQA results for evaluee and Show LQA results for evaluator.

      4. Show extended LQA report. This checkbox is only displayed if the Show LQA results for evaluee and/or Show LQA results for evaluator has been selected. Select the appropriate setting:

        • cleared (default) – the LSP cannot download extended LQA reports, from the Tasks > LQA tab.

        • selected – the LSP can download extended LQA reports, from the Tasks > LQA tab. They can either only download reports for projects in which they have been an evaluee, an evaluator, or both. That depends on the settings made in Show LQA results for evaluee and Show LQA results for evaluator.

    3. Terminology.

      In this section, you can make these settings:

      1. Customers. Select the relevant option:

        • All customers (default) – the LSP can access the terminology resources for all customers in your XTM Cloud instance. They can see all customers, in the Customers dropdown list in the Terminology tab screen, and search for terms associated with these customers. They will also automatically get access to the terminology for newly created customers.

        • Selected customers – in this case, from the list, select all customers that the LSP can have access to. The LSP can only see selected customers, in the Customers dropdown list in the Terminology tab screen, and only search for terms associated with these customers. They will not have access to any newly created customers.

      2. Confidential customers. For details, see Confidential customers in Customer Editor – Edit. Select the appropriate setting for this checkbox:

        • cleared (default) – the LSP has no access to any confidential customers' terminology. In the Terminology tab screen, they cannot see confidential customers, in the Customers dropdown list, nor can they search for terms associated with these customers.

        • selected – in this case, specify if the LSP should have access to:

          • All confidential customers – the LSP can access the terminology for all confidential customers in your XTM Cloud instance. They can see all confidential customers, in the Customers dropdown list, and search for terms associated with these customers. They will also automatically get access to the terminology resources for the newly created confidential customers.

          • Selected confidential customers – in this case, from the list, select all confidential customers that the LSP can have access to. The LSP can only see selected customers, in the Customers dropdown list, and only search for terms associated with these customers. They will not see the terminology resources for any newly created confidential customers until you add these customers to their list.

          Important

          At this stage, an LSP sees confidential customers terminology in XTM Workbench, even if they have not been granted access to these customers. The relevant blocking mechanism will be developed at a later date.

      3. Use LSP language combinations. Select the appropriate setting for this checkbox:

        • cleared (default) – the LSP has access to the terminology in all possible languages, for the customers they have access to.

        • selected – the LSP only has access to the terminology in the languages that have been set for them in the Languages tab, for the customers they have access to.

      4. Terminology access rights. Specify which terminology-related actions the LSP can perform. By default, all options, are deselected. If required, select one or more of these options:

        • Add – the LSP can add new terms.

        • Update and approve – the LSP can update and approve existing terms. When you select this option, the View option is also selected automatically.

        • Suggest – the LSP can suggest new terms. When you select this option, the View option is also selected automatically.

        • Delete – the LSP can delete existing terms. When you select this option, the View option is also selected automatically.

        • View – the LSP can view existing terms. This option is selected automatically when some other options have been selected.

        • Import – the LSP can import new terms.

        • Export – the LSP can export existing terms.

    4. Translation memory.

      In this section, you can make these settings:

      1. Customers. Select the appropriate setting for this checkbox:

        • All customers (default) – the LSP can access the translation memory (TM) for all customers in your XTM Cloud instance. They can see all customers, in the Customers dropdown list in the TM Manager tab screen, and search for TM records associated with these customers. They will also automatically get access to the TM for the newly created customers.

        • Selected customers – in this case, from the list, select all customers that the LSP can have access to. The LSP can only see selected customers, in the Customers dropdown list in the TM Manager tab screen, and only search for TM records associated with these customers. They will not get access to the TM for any newly created customers until you add these customers to their list.

      2. Confidential customers. For details, see Confidential customers in Customer Editor – Edit. Select the appropriate setting for this checkbox:

        • cleared (default) – the LSP has no access to any confidential customers translation memory.

          Important

          The LSP can still see TM matches for confidential customers that they do not have access to. However, they will not see the project and file name, in a TM record's metadata.

        • selected – in this case, specify if the LSP should have access to:

          • All confidential customers – the LSP can access the translation memory for all confidential customers in your XTM Cloud instance. The LSP can see all customers, in the Customers dropdown list in the TM Manager tab screen and search for TM records associated with these customers. They will also automatically get access to the TM for newly created confidential customers.

          • Selected confidential customers – in this case, from the list, select all confidential customers that the LSP can have access to. The LSP can only access the translation memory for the specified confidential customers. The LSP can only see selected confidential customers, in the Customers dropdown list in the TM Manager tab screen and only search for terms associated with these customers. They will not see the TM for any newly created confidential customers until you add these customers to their list.

          Important

          You can only make this setting if you have an XTM Cloud Administrator role.

          Project Managers can only see this setting in read-only mode.

          Important

          At this stage, the LSP can export confidential customers' TM records even if they have not been granted access to them. The relevant blocking mechanism will be developed at a later date.

      3. Use LSP language combinations. Select the appropriate setting for this checkbox:

        • cleared (default) – the LSP has access to TM records in all possible languages, for the customers they have access to.

        • selected – the LSP only has access to TM records in the languages that have been set for them in the Languages tab, for the customers they have access to.

      4. TM access rights. Specify which TM-related actions the LSP can perform. By default, all options are deselected. If required, select one or more of these options:

        • View – the LSP can view existing TM records.

        • Modify – the LSP can modify existing TM records.

        • Import – the LSP can import new TM records.

        • Export – the LSP can export existing TM records.

        • Delete – the LSP can delete existing TM records.

        • Align – the LSP can use the Memory Builder feature (formerly known as TM Aligner).

    5. Custom fields.

      In this section, you can make these settings:

      1. Access to custom fields. The options are:

        • System default (default) – the LSP has access to all custom fields in your XTM Cloud instance.

        • Yes, LSP specific – in this case, the Custom fields setting is displayed. Use it to specify all custom fields that the LSP should have access to.

        • No – the LSP has no access to any custom fields in your XTM Cloud instance.

    6. Concordance.

      Important

      This section is only displayed if you have the confidential customer feature enabled in your XTM Cloud instance.

      In this section, you can make these settings:

      1. Confidential customers. Select the appropriate setting for this checkbox:

        • cleared (default) – the LSP has no access to any confidential customers created in your XTM Cloud instance. They cannot search for these customers in the Concordance docked panel in XTM Workbench.

        • selected – in this case, specify if the LSP should have access to:

          • All confidential customers – in the Concordance docked panel in XTM Workbench, the LSP can see the TM records for all confidential customers created in your XTM Cloud instance. They will also automatically get access to newly created confidential customers.

          • Selected confidential customers – in this case, from the list, select all confidential customers that the LSP can have access to. In the Concordance docked panel in XTM Workbench, the LSP can only see the TM records for the specified confidential customers. They will not see records for any newly created confidential customers until you add these customers to their list.

  6. At the bottom of the screen, select Save.
