Project Editor – Files
To display the Project Editor – Files tab, in the Projects > Project list tab screen, for the relevant project, select the context menu icon . Then, from the dropdown, select
Manage files.
Note
If you are running XTM Cloud 13.5 or higher and have purchased a subscription with a specific word allowance (for details, see Licensing), this tab is inactive when your word allowance has been used up completely. To extend your processed words limit:
In the case of a Freelance or Group subscription, buy additional words (for details, see My Account — Additional words) or upgrade your subscription (for details, see My Account — Renew subscription) .
In the case of an Enterprise, Business, or Team subscription, contact your Customer Success Manager directly or send an email to customersuccess@xtm.cloud.
In the top left-hand side corner of the Project Editor – Files, you see two buttons:
The Manage source files button. When you select it, the Update source files popup is displayed. In it, you can:
add or update source files. For details, see Adding or updating project files.
delete existing source files. For details, see Deleting existing source files.
The Reference material button. It is only active if some reference material has been uploaded for the project. Select the button to download the reference file(s).
Below the buttons, you see the Target language dropdown. If the project has:
a single target language – the Target language dropdown is inactive.
multiple target languages – in the Target language dropdown, you see:
the Choose option – this option is selected by default. Use it to generate, download, and/or upload files for all project target languages.
the relevant target language list – select one of the target languages to only generate, download, and/or upload files for this particular target language.
Generating and downloading project files
When all the steps in the workflow are completed, the target file is generated automatically. Files can be generated manually at any point during the process of translation.

Note
If you are running XTM Cloud 13.5 or higher and have purchased a subscription with a specific word allowance (for details see Licensing) and you download target file(s) before starting the project, the number of processed words contained in the relevant file(s) will be deducted from your XTM Cloud subscription word allowance.
If you download project file(s) after the project has been started, the processed words for the relevant file(s) will not be deducted again.
If you download the file(s) multiple times, the processed words for the relevant file(s) will not be deducted again.
In the Project Editor > Files tab, you can generate and upload files for:
The Source column:

to download the file(s):
Extracted terms – this option is only displayed in the All files table row, and only if you have the Terminologist role and your XTM Cloud Administrator has enabled terminology extraction (for details, see Terminology options). Select it to download a zipped Excel file containing term candidates marked in blue, the frequency of their appearance in the project files, their surface form, and their context.
Download source file(s) – select it to download the source file(s).
Download reference material – this option is only active if your Project Manager uploaded reference material for the project. You can also download them by selecting the Reference material button at the top of the Project > Files popup, above the top right-hand side corner of the table. In XTM Workbench, you can download the reference material from the top navigation bar by selecting Preview > Reference material.
The Target column:
Select the generate icon
to generate the file(s):
Generate target – select it to generate the target file as it currently is. The target file is also generated automatically at the end of the workflow.
Generate target after step – select it to generate the target file after a selected step in the workflow. The translation in the generated target will reflect the changes made in this specific step.
Generate pseudo target – this option is only displayed if your XTM Cloud Administrator has enabled the generation of pseudo translations (for details, see File settings). Select it to generate a pseudo target file in which all the texts have been replaced by underscores. This enables you to quickly ensure that all the correct text has been extracted for translation.
Match rate color-coded target – for the relevant source file(s), use it to generate the target file. In it, the text has been color-coded according to the match rate. For details, see Generating color-coded target files.
XLIFF:doc status color-coded target – this option is displayed if your XTM Cloud Administrator has selected the Enable TIPP option (for details, see General system settings). Select it to generate, for the relevant source file(s), a target file in which the text has been color-coded according to the XLIFF:doc status. For details, see Generating color-coded target files.
Unclean DOC – this option is only displayed for project target
DOCXfiles, in the relevant table row(s). You cannot generate an unclean DOC file for all project files, in the All files table row. An unclean DOC file is a special bilingual target file that needs to be further processed in other software.
Select the upload icon
to upload the file(s). Once you select it, the Upload target file popup is displayed. Use it to browse in your documents and select the relevant file(s). If the upload:
has been successful, you see the warning icon
. When you hover over it you see information that the target file(s) have been uploaded manually.
has failed, you see the error icon
. Select it to display information about why the upload has been unsuccessful.
Select the download icon
to download the most recently generated file(s). This icon is only displayed if some files have been generated.
Select the info icon
to display the Target file history popup. In it, you see details for all generated and uploaded target files. For each history entry, you can select:
the download icon
to download the relevant file(s).
the dustbin icon
to delete the relevant file(s).
the error icon
to display information about why the upload has been unsuccessful.
Important
XTM Cloud automatically deletes old target and preview files from projects. For each file type, it checks the number of generated files. If the number of generated files of the relevant type exceeds the predefined limit, it removes the oldest files. By default, the oldest files are removed, if:
more than 10 files of the same type have been generated.
more than 3 files of the same type have been generated, and their total size is greater than 100MB.
The limit can be changed at the client’s request.

The Preview column:

PDF:
Document – select it to generate a WYSIWYG view of the latest version of the relevant target file(s), in
PDFformat.Source/target table – select it to generate a
PDFfile with a table containing source and target text columns. Each XTM Workbench segment is displayed in a separate table row. If a target segment has not yet been filled, the source text will be displayed in the relevant source cell.Paragraph view – select it to generate a table containing the segment numbers and the paragraph columns. In the paragraph column, the target text from the same paragraph is in one table cell. In the segment number column, you see which segments this text is displayed in, in XTM Workbench.
Extended table... – select it to open the Extended PDF table options popup. In it, select the required extended table options for your
PDFfile. Then, in the bottom right-hand side corner of the popup, select the Generate button. YourPDFextended table is generated and is ready to be downloaded.Match rate color-coded document – for the relevant source file(s), use it to generate the
PDFtarget file. In it, the text has been color-coded according to the match rate. For details, see Generating color-coded target files.Status color-coded document – this option is displayed if your XTM Cloud Administrator has selected the Enable TIPP option (for details, see General system settings). Select it to generate, for the relevant source file(s), a
PDFtarget file in which the text has been color-coded according to the XLIFF:doc status. For details, see Generating color-coded target files.
HTML:
Document – select it to generate a WYSIWYG view of the latest version of the relevant target file(s), in
HTMLformat.Source/target table – select it to generate an
HTMLfile containing a source or target table in which all the text from the same paragraph is in the same cell.Extended table... – select it to open the Extended HTML table options popup. In it, select the required extended table options for your
HTMLfile. Then, in the bottom right-hand side corner of the popup, select the Generate button. YourHTMLextended table is generated and is ready to be downloaded.
Excel:
Extended table... – select it to open the Extended Excel table options popup. In it, select the required extended table options for your Excel file. Then, in the bottom right-hand side corner of the popup, select the Generate button. Your Excel extended table is generated and is ready to be downloaded.
Alternative translations – this option is displayed if it has been enabled by your XTM Cloud Administrator (for details, see Project type settings) and selected for the project (for details, see Creating a project: Settings). This gives you an Excel file containing source text, recommendation (target text), alternative translations, back translations and comments (if available) on one sheet.
Select the download icon
to download the most recently generated file(s). This icon is only displayed if some files have been generated.
Select the info icon
to display the Preview file history popup. In it, you see details for all generated preview files. For each history entry, you can select:

the Offline translation:
Select the generate icon
to generate the file(s):
Generate TIPP – this option is only displayed if your XTM Cloud Administrator has selected the Enable TIPP option (for details, see General system settings).
TIPPis one of the formats that can be used for offline translation, in XTM Cloud. You can only generate aTIPPfile for all project files.Generate XLIFF – select this option to generate an
XLIFFstandard 1.2-compliantXLIFFfile. In the Generate XLIFF popup, specify if the target segments that have not yet been translated are to be populated with the source content, and select Generate.Generate multi XLIFF – select this option to download one
XLIFFstandard 1.2-compliantXLIFFfile for multiple jobs for the same language pair. In the Generate XLIFF popup, specify if the target is to be populated with the source content and select Generate.Generate XTM Excel Editor – select this option to download file(s) that you can use in the XTM Offline Editor. In the Select a workflow step popup, select the relevant step, and then select Generate.
Generate PDF review.

Upload XLIFF – select this option to upload an
XLIFFfile. For details of how to do so, see the Uploading XLIFF and multi XLIFF files in the Project Editor – Files tab screen topic.Note
If required, you can set specific target segments to locked or unlocked, in XTM Workbench, when the
XLIFFfile is uploaded to XTM Cloud. To do so, in theXLIFFfile, in the relevant <target> segment(s), enter an appropriate attribute value, as described below:Locking segments
Example 41. Attributes used for segment lockingTo lock the specific segment(s), enter an
xtm:lockedattribute with one of these valid values: "yes", "true", or "y". Example:<trans-unit><target xtm:locked="yes">.These values are NOT case-sensitive.
When you lock a segment, in addition to the
xtm:lockedattribute, you will also see thextm:lockedatattribute in theXLIFFfile. This additional attribute indicates when the relevant segment has been locked, specifying the time and date.All XTM Workbench users will see the relevant segment(s) as locked. When they hover over the locked icon
, they will see which user locked the segment. This information depends on the settings made by your XTM Cloud Administrator (for details, see Privacy settings).
Users who have been granted the relevant access rights by their XTM Cloud Administrator or Project Managers can unlock these segments in XTM Workbench. To grant these access rights to a particular user, for the Segment locking rights setting, select either the Lock and unlock or Unlock only option. For details, see Adding user access rights.
Unlocking segments
Example 42. Attributes used for segment unlockingTo unlock the specific segment(s), enter an
xtm:lockedattribute with the value "no", "false", or "n". Example:<trans-unit><target xtm:locked="no">.These values are NOT case-sensitive.
In this way, you can unlock segments that have previously been locked:
by a user in XTM Workbench. If they have been granted the necessary rights, users can lock a segment by right-clicking on it in XTM Workbench. For details, see Segment options.
by a user in the
XLIFFoffline file, which has then been imported back into XTM Cloud (see "Locking segments" above).automatically due to the Mark segments as locked when setting being enabled during project creation (for details, see Creating a project: Settings) or in the Project Editor (for details, see Project Editor – General info: General info).
When you unlock segments in this way, users will see them as unlocked in XTM Workbench.
You cannot use the
xtm:lockedattribute to unlock ICE matched segments if the Allow editing of ICE segments setting has been disabled during project creation (for details, see Creating a project: Settings) or in the Project Editor (for details, see Project Editor – General info: General info).
Upload multi XLIFF – use this option to upload an
XLIFFfile. For details of how to do so, see the Uploading XLIFF and multi XLIFF files in the Project Editor – Files tab screen topic.Note
