XTM Cloud 25.2

Adding user access rights

You can restrict the relevant user's access to just selected resources, e.g. some customers, their translation memory and terminology.

Important

Only XTM Cloud Administrators can edit an XTM Cloud Administrator user details.

Also, some settings can only be made by users with an XTM Cloud Administrator role. Project Managers can only see these settings in read-only mode.

Some settings are mandatory. They are marked with the red asterisk icon asterisk-solid.png.

  1. Select Users > User list.

  2. In the Users list tab screen, find the relevant user.

  3. Select the context menu icon ellipsis_vertical_context_menu_brand_refreshed.svg on the left-hand side of the username.

  4. In the list, select lock_open_brand_refreshed.svg Access rights.

  5. In the lock_open_brand_refreshed.svg Access rights tab screen, decide which settings to enable. Sections and settings in them depend on the user type. The possible options are:

    1. Authentication.

      This section is only displayed for users with these roles: Administrator, Project Manager.

      In this section, you can make these settings:

      1. Access through. Select the relevant option:

        • User Interface and API (default) – the user can access XTM Cloud through XTM Cloud UI or the API.

        • Only User Interface – the user can only access XTM Cloud through UI, not the API.

        • Only API – the user can only access XTM Cloud through API, but not UI.

    2. Customers.

      This section is only displayed for users with these roles: Project Manager, PM - project creator & viewer, PM - projects & customers, Cost Approver, Requester, and Linguist.

      In this section, you can make these settings:

      1. Customers. Select the relevant option:

        • All customers (default) – depending on their role, the user can see, create and edit, or be assigned to projects for all customers in your XTM Cloud instance. They will also automatically get access to newly created customers.

        • Selected customers – in this case, from the list, select all customers that the user can have access to. Depending on their role, the user can only see, create and edit, or be assigned to projects for the specified customers. They will not get access to any newly created customers until you add these customers to their list.

      2. Confidential customers. You must have an XTM Cloud Administrator role to use this checkbox. (For details, see Confidential customer in Customer Editor – Edit). Select the appropriate setting:

        • cleared (default) – the user has no access to any confidential customers created in your XTM Cloud instance. They cannot see and manage confidential customers in the Customers tab screen. They also cannot create or edit projects for confidential customers, nor be assigned to these projects.

        • selected – in this case, specify if the user should have access to:

          • All confidential customers – depending on their role, the user can see all confidential customers in the Customers tab screen and manage them. They can also create and edit projects for all confidential customers in your XTM Cloud instance and/or be assigned to these projects and see the relevant tasks, in their Tasks tab screen. They will also automatically get access to newly created confidential customers.

          • Selected confidential customers – in this case, from the list, select all confidential customers that the user can have access to. Depending on their role, the user can see and manage the selected confidential customers in the Customers tab screen. They can also create and edit projects for these customers and/or be assigned to these projects and see the relevant tasks, in their Tasks tab screen. They will not get access to any newly created confidential customers until you add these customers to their list.

          Note

          Confidential customers is a Beta feature.

          Important

          You can only make this setting if you have an XTM Cloud Administrator role.

          Project Managers can only see this setting in read-only mode.

    3. Projects.

      This section is only displayed for users with these roles: Project Manager, PM - projects & customers, PM - project creator & viewer.

      In this section, you can make these settings:

      1. Only show this user's projects. Select the appropriate setting for this checkbox:

        • cleared (default) – the user can see all projects created by them and other users for customers that they have access to.

        • selected – the user can only see projects created by them. They do not see projects created by other users even if the projects are for customers that they have access to.

    4. XTM Workbench.

      This section is only displayed for users with these roles: Project Manager, PM - projects & customers, Linguist.

      In this section, you can make these settings:

      1. Segment locking rights. Select the relevant option:

        • None (default) – the user can neither lock nor unlock segments in XTM Workbench.

        • Lock and unlock – the user can both lock and unlock segments in XTM Workbench.

        • Unlock only – the user can only unlock segments in XTM Workbench, but not lock them.

      2. Allowed to see metrics. This checkbox is only displayed for users with the Linguist role. Select the appropriate setting:

        • selected (default) – the user can display metrics in the Tasks tab and in XTM Workbench.

        • cleared – the user cannot display metrics, neither in the Tasks tab nor in XTM Workbench.

      3. Open XTM Workbench in Simplified Mode. This checkbox is only displayed if your XTM Cloud Administrator has selected the Enable XTM Workbench customization checkbox. (For details, see XTM Workbench customization). Select the appropriate setting:

        • cleared (default) – the user cannot access XTM Workbench in Simplified Mode.

        • selected – the user cannot access XTM Workbench in Simplified Mode.

    5. LQA.

      This section is only displayed for users with these roles: PM - projects & customers, PM - project creator & viewer, Linguist.

      In this section, you can make these settings:

      1. Allow access to project's LQA results. This checkbox is only displayed for users with PM - project creator & viewer and PM - projects & customers role. Select the appropriate setting:

        • cleared (default) – the user has no access to the project's LQA results.

        • selected – the user has access to the project's LQA results.

      2. Allow access to LSP LQA results. This checkbox is only displayed for users with PM - project creator & viewer and PM - projects & customers role. Select the appropriate setting:

        • cleared (default) – the user has no access to the LSP LQA results.

        • selected – the user has access to the LSP LQA results.

      3. Show LQA results for evaluee. This checkbox is only displayed for users with the Linguist role. Select the appropriate setting:

        • cleared (default) – the user has no access to their own LQA results (when they have acted as an evaluee).

        • selected – the user has access to their own LQA results (when they have acted as an evaluee). If you select this option, the user sees an additional LQA sub-tab in their Tasks tab. In it, they see their own LQA results.

          Also, two additional checkboxes are displayed at the bottom of the LQA section: Show simple LQA report and Show extended LQA report. Use them to specify if the user can download their LQA results, and in which form.

      4. Show LQA results for evaluator. This checkbox is only displayed for users with the Linguist role. Select the appropriate setting:

        • cleared (default) – the user has no access to other users' LQA results (when they have acted as an evaluator).

        • selected – the user has access to other users' LQA results (when they have acted as an evaluator). If you select this option, the user sees an additional LQA sub-tab in their Tasks tab. In it, they see other users' LQA results.

          Also, two additional checkboxes are displayed at the bottom of the LQA section: Show simple LQA report and Show extended LQA report. Use them to specify if the user can download other user's LQA results, and in which form.

      5. Show simple LQA report. This checkbox is only displayed for users with the Linguist role and only if the Show LQA results for evaluee and/or Show LQA results for evaluator checkbox has been selected. Select the appropriate setting:

        • cleared (default) – the user cannot download simple LQA reports, from the Tasks > LQA tab.

        • selected – the user can download simple LQA reports, from the Tasks > LQA tab. They can either only download reports for projects in which they have been an evaluee, an evaluator, or both. That depends on the Show LQA results for evaluee and Show LQA results for evaluator settings.

      6. Show extended LQA report. This checkbox is only displayed for users with the Linguist role and only if the Show LQA results for evaluee and/or Show LQA results for evaluator checkbox has been selected. Select the appropriate setting:

        • cleared (default) – the user cannot download extended LQA reports, from the Tasks > LQA tab.

        • selected – the user can download extended LQA reports, from the Tasks > LQA tab. They can either only download reports for projects in which they have been an evaluee, an evaluator, or both. That depends on the Show LQA results for evaluee and Show LQA results for evaluator settings.

    6. Terminology.

      This section is only displayed for users with this role: Terminologist.

      In this section, you can make these settings:

      1. Customers. Select the relevant option:

        • All customers (default) – the user can access the terminology resources for all customers in your XTM Cloud instance. They can see all customers, in the Customers dropdown list in the Terminology tab screen, and search for terms associated with these customers. They will also automatically get access to the terminology for newly created customers.

        • Selected customers – in this case, from the list, select all customers that the user can have access to. The user can only see selected customers, in the Customers dropdown list in the Terminology tab screen, and only search for terms associated with these customers. They will not have access to any newly created customers.

      2. Confidential customers. You must have an XTM Cloud Administrator role to use this checkbox. (For details, see Confidential customer in Customer Editor – Edit). Select the appropriate setting:

        • cleared (default) – the user has no access to any confidential customer terminology. In the Terminology tab screen, they cannot see confidential customers, in the Customers dropdown list, nor can they search for terms associated with these customers.

        • selected – in this case, specify if the user should have access to:

          • All confidential customers – the user can access the terminology for all confidential customers in your XTM Cloud instance. They can see all confidential customers, in the Customers dropdown list and search for terms associated with these customers. They will also automatically get access to the terminology resources for newly created confidential customers.

          • Selected confidential customers – in this case, from the list, select all confidential customers that the user can have access to. The user can only see selected customers, in the Customers dropdown list, and only search for terms associated with these customers. They will not see the terminology resources for any newly created confidential customers until you add these customers to their list.

          Note

          Confidential customers is a Beta feature.

          Important

          You can only make this setting if you have an XTM Cloud Administrator role.

          Project Managers can only see this setting in read-only mode.

          Important

          At this stage, a user sees confidential customer terminology in XTM Workbench, even if they have not been granted access to these customers. The relevant blocking mechanism will be developed at a later date.

      3. Use user's language combinations. This checkbox is only displayed for users with the Linguist and Terminologist roles. Select the appropriate setting:

        • cleared (default) – the user has access to the terminology in all possible languages, for the customers they have access to.

        • selected – the user only has access to the terminology in the languages that have been set for them in the Languages tab, for the customers they have access to.

      4. Terminology access rights. Specify which terminology-related actions the user can perform. By default, all options, except Suggest, are selected for a user with the Terminologist role. If required, add the missing option, or deselect one or more of these options:

        • Add – the user can add new terms.

        • Update and approve (default) – the user can update and approve existing terms. When you select this option, the View option is also selected automatically.

        • Suggest – the user can suggest new terms. When you select this option, the View option is also selected automatically.

        • Delete (default) – the user can delete existing terms. When you select this option, the View option is also selected automatically.

        • View (default) – the user can view existing terms. This option is selected automatically when some other options have been selected.

        • Import (default) – the user can import new terms.

        • Export (default) – the user can export existing terms.

      5. Show customer names. This setting is only displayed for users who only have the Terminologist role. Select the relevant option:

        • Show real name (default) – the user can see the actual names of the customers they have access to, in their terminology records.

        • Show nickname – the user can see the nicknames (1 per customer, if set) entered for the customers they have access to in the Customer nickname field. If a nickname has not been set for the customer, their ID is displayed.

        • Hide – the user cannot see any terminology records, even for the users they have access to.

    7. Translation memory.

      This section is only displayed for users with these roles: TM Expert and Linguist.

      In this section, you can make these settings:

      1. Customers. Select the relevant option:

        • All customers (default) – the user can access the translation memory (TM) for all customers in your XTM Cloud instance. A user with the TM Expert role can see all customers, in the Customers dropdown list in the TM Manager tab screen and search for TM records associated with these customers. They will also automatically get access to the TM for newly created customers.

        • Selected customers – in this case, from the list, select all customers that the user can have access to. A user with the TM Expert role can only see selected customers, in the Customers dropdown list in the TM Manager tab screen, and only search for TM records associated with these customers. They will not get access to the TM for any newly created customers until you add these customers to their list.

      2. Confidential customers. You must have an XTM Cloud Administrator role to use this checkbox. (For details, see Confidential customer in Customer Editor – Edit). Select the appropriate setting:

        • cleared (default) – the user has no access to any confidential customers translation memory.

          Important

          A user with the Linguist role can still see TM matches for confidential customers that they do not have access to. However, they will not see the project and file name in a TM record's metadata.

        • selected – in this case, specify if the user should have access to:

          • All confidential customers – the user can access the translation memory for all confidential customers in your XTM Cloud instance. A user with the TM Expert role can see all customers, in the Customers dropdown list in the TM Manager tab screen and search for TM records associated with these customers. They will also automatically get access to the TM for newly created confidential customers.

          • Selected confidential customers – in this case, from the list, select all confidential customers that the user can have access to. The user can only access the translation memory for the specified confidential customers. A user with the TM Expert role can only see selected confidential customers, in the Customers dropdown list in the TM Manager tab screen, and only search for terms associated with these customers. They will not see the TM for any newly created confidential customers until you add these customers to their list.

          Note

          Important

          You can only make this setting if you have an XTM Cloud Administrator role.

          Project Managers can only see this setting in read-only mode.

          Important

          At this stage, a user can export confidential customer TM records even if they have not been granted access to these customers. The relevant blocking mechanism will be developed at a later date.

      3. Use user's language combinations. This checkbox is only displayed for users with the Linguist role. Select the appropriate setting:

        • cleared (default) – the user has access to TM records in all possible languages, for the customers they have access to.

        • selected – the user only has access to TM records in the languages that have been set for them in the Languages tab, for the customers they have access to.

      4. TM access rights. This setting is only displayed for users with the TM Expert role. Specify which TM-related actions the user can perform. By default, all options are selected for a user with the TM Expert role. If required, deselect one or more of these options:

        • View (default) – the user can view existing TM records.

        • Modify (default) – the user can modify existing TM records.

        • Import (default) – the user can import new TM records.

        • Export (default) – the user can export existing TM records.

        • Delete (default) – the user can delete existing TM records.

        • Align (default) – the user can use the Memory Builder feature (formerly known as TM Aligner).

    8. Concordance.

      This section is only displayed for users with this role: Linguist.

      In this section, you can make these settings:

      1. Confidential customers. You must have an XTM Cloud Administrator role to use this checkbox. (For details, see Confidential customer in Customer Editor – Edit). Select the appropriate setting:

        • cleared (default) – the user has no access to any confidential customers created in your XTM Cloud instance. They cannot search for these customers in the Concordance tab screen or in the XTM Workbench docked panel.

        • selected – in this case, specify if the user should have access to:

          • All confidential customers – in the Concordance tab and XTM Workbench docked panel, the user can see TM records for all confidential customers created in your XTM Cloud instance. They will also automatically get access to newly created confidential customers.

          • Selected confidential customers – in this case, from the list, select all confidential customers that the user can have access to. In the Concordance tab and XTM Workbench docked panel, the user can only see TM records for the specified confidential customers. They will not see records for any newly created confidential customers until you add these customers to their list.

          Project Managers can only see this setting in read-only mode.

      2. Access to TM metadata & Concordance. Select the relevant option:

        • Use global settings – to use the global settings for the user. They are made by your XTM Cloud Administrator in the Linguist access to TM metadata & Concordance setting. For details, see Linguist general options.

        • Full access – to grant the user full access to TM metadata and concordance records.

        • Access without customer details.

        • Access without customer or project details.

        • No access.

      3. Return concordance results in all TM languages. Select the appropriate setting for this checkbox:

        • selected (default) – the user can see concordance results in all TM languages.

        • cleared – the user cannot see concordance results in all TM languages.

  6. At the bottom of the screen, select Save.
