Starting a workflow
Procedure. To start a workflow:

  1. From the Project list, select the project in which you want to start the workflow(s).

  2. Open the relevant project in Project Editor.

  3. In the in Project Editor, select square-kanban-regular_brand_refreshed.svg Workflow tab.

  4. To start the workflow, select the Start button.

    Note

    Depending on which workflow you have selected, a number of tasks will have a green surrounding. This indicates that the tasks are active and the linguists can work on them.

    If you are running on XTM Cloud 13.5 or higher and have purchased a subscription with a specific word allowance (for details see Licensing), and start the workflow, processed words will be deducted from your XTM Cloud instance word limit, but only for the file(s) and/or language(s) that have been started.

    Example 40. How processed words are deducted when starting the workflow.

    The source file contains 100 new words (no ICE matches) and the project has 3 target languages.

    If you start the whole project, XTM Cloud will deduct 300 words from your processed words limit.

    But, if you only start one target language workflow, XTM Cloud will only deduct 100 words from your limit.

If you are running on XTM Cloud 13.5 or higher and have purchased a subscription with a specific word allowance (for details see Licensing), the Start button is inactive, when your word allowance has been completely used. To extend your processed words limit:

Processed words are calculated as follows:

number of words in the source file(s) * number of target languages in the project - number of ICE matches in the project

Example 51. Processed words calculation

The source file contains 100 words, the project has 3 target languages and 20 words from one target language are ICE matches. XTM Cloud calculates processed words as follows:

100 * 3 - 20 = 300 - 20 = 280

For this project, XTM Cloud will deduct 280 processed words from your allowance.


Processed words are deducted from your XTM Cloud instance word allowance, whenever any of these actions are performed ( whichever happens first):

  • Project Managers start a project or job. Only the processed words related to the started file(s) and/or language(s) will be deducted.

  • Project Managers or Linguists open a job in XTM Workbench in edit mode (either via the UI or API) before starting the project. Only the processed words related to the opened file(s) will be deducted from your allowance. If the file is only opened in edit mode after its workflow has been started, the processed words for that file will not be deducted again. Processed words are only deducted the first time the file is opened in XTM Workbench, not when the file is opened again.

  • Project Managers download one or more project files before starting the project. Only the processed words related to the downloaded target files will be deducted. If the file is only downloaded after its workflow has been started, the processed words for that file will not be deducted again. Also, if the same version of the target file is downloaded multiple times, processed words will be deducted only once.

  • Project Managers upload one or multiple source files to an existing, started project (continuous project) for which the processed words have already been deducted, or replace them in the project. In this case, only the processed words related to the new scope will be deducted from your word allowance.
