Active tasks tab
In the top left-hand corner of the Active tasks tab screen, you see a dropdown with these 3 options:
My tasks – Select this option to only display tasks assigned directly to you.
Group tasks – Select this option to only display tasks assigned to the user group that you are a part of.
All (default) – Select this option to display tasks assigned directly to you and to your user group.
In the top right-hand corner of the Active tab screen, you see a circle diagram displaying your current progress in all active tasks. In the middle of the circle, you see the percentage of all tasks completed. When you hover over the diagram, you see your current word count versus the total word count in all active tasks.
In the top right-hand corner of the Active tasks tab screen, next to the circle progress diagram, you see a text field and the Search button. Use them to filter tasks, to find the relevant ones. You can search by a complete or partial project or file name, source or target language, role, or step name.
Linguists can open XTM Workbench directly from the Tasks tab by clicking on the relevant task. Alternatively, they can select the context menu icon and the Open XTM Workbench or the Open XTM Workbench in XTM Visual Mode menu option. Depending on additional settings, they can enter XTM Workbench either in edit mode or in read-only mode. For example, if the Require acceptance of task/project is enabled feature has been enabled by the Project Manager (for details see Creating a project: Workflow), until they accept the task, Linguists can only enter XTM Workbench in read-only mode.

XTM Visual Mode is only available, if the source file is in one of the supported formats. Learn more about Visual mode in XTM Workbench.
Your active tasks are displayed in a table with the following information:
Project – sortable.
File WWC – sortable. This column is displayed if it has not been hidden by your XTM Cloud Administrator. It displays the Weighted Word Count for the relevant task.
Customer – sortable.
File – sortable.
Metadata – sortable. This column is displayed if this setting has been enabled by XTM Support.
Source – sortable.
Target – sortable.
Date due – sortable.
Step – sortable.
Step type – sortable.
Role – sortable.
Segments.
Chargeable – This column indicates if the relevant task is chargeable or not. If this option has been enabled by your XTM Cloud Administrator and your Project Manager, you can select or clear the checkbox.
Time – This column is displayed if your XTM Cloud Administrator enabled manual time tracking for Linguists. If your Project Manager enabled this option for your job, in the time input field, enter the amount of time you expect the relevant task to take you.
Rush – This column is displayed if your XTM Cloud Administrator enabled rush jobs. It indicates if the relevant task is treated as a rush job or not. If you see:
no icon – your Project Manager did not enable time tracking and rush jobs for the relevant task.
– your Project Manager has enabled time tracking for the relevant task, but it is not treated as a rush job.
– your Project Manager has enabled time tracking for the relevant task and it is treated as a rush job.
Words – This column displays the total word count in the relevant task.
Progress – This column displays the percentage of the relevant task completion.
sortable status icons with additional information:
– This icon indicates that the relevant task is assigned directly to you. When you hover over this icon, you see additional information about the relevant task.
– This icon indicates that the task assigned directly to you is past its due date. When you hover over this icon, you see additional information about the relevant task.
– This icon indicates that the relevant task is assigned to an allocation order user group. When you hover over it, you see additional information about the relevant task.
In the allocation order user group, only one user at a time can see the relevant task. The next Linguist in the allocation list sees the task only after the previous one has declined it. Therefore, we recommend that you accept or decline the task as soon as possible. When you accept the task, the icon changes to the blue information icon or the red warning icon . This indicates that the relevant task is assigned directly to you now.
– This icon indicates that the relevant task is assigned to a first come first served user group. When you hover over it, you see additional information about the relevant task.
In the first come first served user group all users can see the relevant task at the same time. When you decline the task, it is still visible to other Linguists from the relevant user group. When you accept the task, the icon changes to the blue information icon or the red warning icon . This indicates that the relevant task is assigned directly to you now.
In the top and bottom right-hand corner of the table, you see the number of pages. You can navigate between pages by selecting the page number, typing it in, or using the chevron left and chevron right icons.
In the bottom left-hand corner of the table, you see how many entries it contains. You can set the number of entries that are displayed on one page to:

From the context menu icon on the right-hand side of the screen, next to each task, you can select one of the following options:
Context menu option | Description |

Open XTM Workbench | Select this menu option to open the relevant task in XTM Workbench. Depending on additional settings, you can enter it either in edit mode or in read-only mode. |
Open XTM Workbench in XTM Visual Mode | This menu option is displayed if the source file is one of the supported formats. For details, see Visual mode in XTM Workbench. Depending on additional settings, it enables you to enter XTM Workbench either in edit mode or in read-only mode. |
Open File Manager | Select this menu option to open the Project – Files popup from where you can download reference material and generate, download and/or upload project files. You can also download them from XTM Workbench. To do so, open the relevant file in XTM Workbench. Then, from the top navigation bar, select Preview and then select the relevant file type from the dropdown. |
Open Terminology | This menu option is displayed if you have a Terminologist role in addition to your Linguist role. Select it to access and manage, export or import the terminology for the relevant customer. |
Assign back to user group | This menu option is displayed when you accept the task which has been assigned to a user group. Select it to resign from completing the task. In this case the task again becomes available to other user group members. |
Show metrics | Select this menu option to open the Metrics popup in which you can check and download relevant file metrics. |
Show metadata | This menu option is displayed if metadata file has been uploaded during project creation. Select it to open the Metadata popup containing additional information about the relevant project. |
Open corrector changes | This menu option opens the Corrector changes popup, which enables you to check corrector changes, if available. |
Enter time taken | This menu option is displayed if your Project Manager enabled calculating costs based on manual time tracking at the relevant workflow step. If you select this option, the Enter time taken popup is displayed. In it, you can manually enter time spent on the relevant task. |
Finish task | Select this menu option to finish the task without entering XTM Workbench. Depending on the task and project, the available finishing tasks options are:
NoteDepending on the workflow settings selected by your Project Manager, this option is only active if all segments in the relevant task have been set as Completed. For details see Modifying the workflow and setting dues dates for steps. |
Accept task | This menu option is displayed if the task has been assigned to a user group. When you select this option, the relevant task is no longer displayed or available for other user group members. You can select one of the available acceptance options:
Ensure that you either accept or decline tasks assigned to you as soon as possible. This enables you to start working on your task on time and at the same time the project delivery won’t be affected. |
Accept tasks | This menu option is displayed if the Require acceptance of task/project setting has been enabled on the project. You can select one of these acceptance options:

Decline task | Select this menu option to decline an assigned task. When you select this option, your Project Manager is notified about it by email. Ensure that you either accept or decline tasks assigned to you as soon as possible. This enables you to start working on your task on time and at the same time the project delivery won’t be affected. |
Reject task | This menu option is displayed when the relevant task is in the second or subsequent step in the workflow. Select it to roll the task back to the previous workflow step.
