Workflow steps parameters

To access the Workflow steps parameters, select Configuration > Settings > Workflow > Workflow steps.

The Workflow steps parameters are displayed in a table with the following details:

  • Step name.

  • Description.

  • Step type.

  • Created by.

  • Workflow use – This column displays the number of workflow definitions in which the relevant step has been used.

  • Active – This column displays one of the two icons:

    • green_circle_check.png – This icon indicates that the relevant workflow step is currently active and can be used in Workflow definitions and in Workflow Editor.

    • circle_sharp_solid_brand_refreshed.svg – This icon indicates that the relevant workflow step is currently inactive. An inactive workflow step cannot be used in Workflow definition. Existing workflow definitions containing it will also get deactivated. An inactive workflow step cannot be added to a workflow in Workflow Editor. The deactivation of a workflow step, however, will not affect workflow of any existing project that contains it.

  • the information icon circle-info-solid_blue_navy.svg – When you hover over it, the ID of the relevant step will be displayed.

To create a new workflow step, select the Add button. Then, in the Create workflow step popup, select the relevant values for the workflow step parameters.

To edit an existing workflow step, select it from the table. Then, in the Edit workflow step popup, select the relevant values for the workflow step parameters.

Sets one of the standard or additional workflow steps.

Valid Standard steps values are:

  • Translate – Users can enter and edit translations and add comments.

  • Correct – Users can edit translations and enter comments.

  • Review – Users can only enter comments about translations, they cannot edit the translation.

  • LQA – Users can check translation errors.

Valid Additional steps values are:

  • Management tasks – Files can be downloaded but cannot be updated.

    It can be an approval step before the translation process starts.

    Other ones include: entering cost details, approving costs and proposals, printing files, sending files to client, etc.


  • Non CAT tool process – Files can be downloaded and updated in XTM Cloud but the TM and project segments will not be modified.

    DTP step after translation where some layout changes are required. Changes to the target text made in this type of step are not saved in the TM or terminology database.


  • Automatic – Enables you to further specify either of the valid values:

    • Approve the TM of selected segments

    • Set the XTM status of segments to green/done for all segments

    • Set the minimum XLIFF:doc status of segments

      This option is available only if TIPP is activated in Configuration > Settings.

Name

The name of the newly created workflow step.

Enter the workflow step name using Latin letters, digits and the following characters: - _ , . ^ ! @ # $ % & ( )

Description

Selecting any step type makes the Description parameter automatically filled with its definition.

Automatic

Text field

Automatically filled depending on the selection made in the Type parameter.

You can customize the description using alphanumeric values.

Active

Determines if the workflow step is available for selection when creating a workflow definition and in the Workflow Editor.

This parameter is available when the Automatic option is selected within the Additional steps workflow type.

  • Approve the TM of selected segments – This option enables automatic approval of segments which meet any of the selected criteria. XTM Cloud can automatically approve segments with:

    • Changed target text – approves segments where target text is different from the source text.

    • Status is done – approves segments where the status has been set to done in the preceding step.

    • Status is to be checked – approves segments with a to be checked status.

    • Match type – approves segments with either of the following match types available in the dropdown list:

      • ICE

      • Leveraged

      • Non-translatable

    • XLIFF:doc status – this option enables approval of segments with either of the following specific XLIFF:doc statuses available in the dropdown list:

      • New

      • Translated

      • Proofed

      • Validated

      Note

      This option is available only if TIPP is activated in Configuration > Settings.

  • Set XTM status to green/done for all segments

  • Update XLIFF:doc status of segments

    Note

    This option is available only if TIPP is activated in Configuration > Settings.

    • minimum XLIFF:doc status – the minimum XLIFF:doc status in your project will be automatically changed to the one selected in the dropdown:

      • New

      • Translated

      • Proofed

      • Validated

      You can additionally select the Set XTM status to green/done parameter – The XTM Cloud status will be changed to green/done (Completed”).

    • all XLIF:doc statuses – all XLIFF:doc statuses will be updated to the one selected from the dropdown:

      • New

      • Translated

      • Proofed

      • Validated

      only if one or any of the following conditions is met:

      • XTM status is done (Completed)

      • TM match type is one or more of the following:

        • ICE

        • Leveraged

        • Non-translatable

      • XLIFF:doc status is one or more of the following:

        • New

        • Proofed

        • Validated

If action fails then

This parameter is available when the Automatic option is selected within the Additional steps workflow type.
