Creating a project: Settings

This section provides information about optional Settings that you can use while creating a project in XTM Cloud.

Note

You cannot remove the project customer from the selected customers list. Their TM and Terminology will always be used on the project, regardless of the option selected for the Use the selected customer’s setting.

Predefined list of customers available in your XTM Cloud instance.

Use the chevron right icon circle_chevron_right_sharp_solid_brand_refreshed.svg to add customer(s) to the list, and the chevron left icon circle_chevron_left_sharp_solid_brand_refreshed__2_.svg to remove them.

Use not approved memory

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the general Matches settings).

By default, XTM Cloud only uses approved TMs for matching. However, this setting enables you to use not approved TM.

This setting does not apply to a not approved TM created in the relevant project. This TM will be returned even, if you did not select the Use not approved memory setting.

This setting does not apply to internal matching cases, such as fuzzy repetitions and 100% repetitions.

Hide repeated segments

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Repeats settings).

When you select this setting, XTM Workbench hides repeated segments when repeats exceed a percentage of a file specified in the Activate when repeats exceed X % of a file setting.

Hide repeated segments

Activate when repeats exceed X % of a file

This setting is displayed if you selected the Hide repeated segments checkbox.

It enables you to specify the percentage for the Hide repeated segments setting. When the specified threshold condition is met and the project is being opened in the XTM Workbench, a filter called All segments except repeats is triggered automatically. The filter hides repeated segments but displays all other segment types, including the source of repeats. The feature includes cross-file repetitions. Repeated segments are automatically hidden in XTM Workbench and then silently propagated to all subsequent repetitions. The filter can be deactivated in XTM Workbench and activated again but it is not available for projects where the Hide repeated segments option has not been activated by the Project Manager.

Mandatory if you selected the Hide repeated segments checkbox.

Allow editing of ICE segments

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the ICE match settings).

When you enable this setting, it unlocks for editing in XTM Workbench all completed segments populated with In-Context Exact matches.

Set ICE matches from not approved TM to done

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the ICE match settings). If you disabled the Use not approved memory setting, this setting will be displayed, but inactive. It is also not available in the Project Editor, so the setting cannot be changed in an existing project.

It enables you to set ICE matches from not approved TM to done (Completed) during project analysis without the need to confirm them in XTM Workbench.

This setting will only apply for an active segment in an active workflow step, if the target segment (which has been promoted to ICE match, while the Linguist was working in XTM Workbench) is populated automatically. For details, see the ICE match settings.

This behavior can be observed in one or both of the two segments below the active one if the target segment has not yet been filled by the Linguist. When the list of matches has been updated, an ICE match from not approved Translation Memory will be auto-populated into the target segment, if it is the highest available match.

If a Linguist manually selects ICE match from the Matches docked panel, this setting will not apply, so the segment status will not automatically be set to Completed.

Set leveraged matches from approved TM to done

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Leveraged match settings). It is not available in the Project Editor, so the setting cannot be changed in an existing project.

It enables you to set leveraged matches from approved TM to done (Completed) during project analysis without the need to confirm them in XTM Workbench.

This setting will only apply for an active segment in an active workflow step, if the target segment (which has been promoted to leveraged match, while the Linguist was working in XTM Workbench) is populated automatically. For details, see the Leveraged match settings.

If a Linguist manually selects leveraged match from the Matches docked panel, this setting will not apply.

Set leveraged matches from not approved TM to done

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Leveraged match settings). If you disabled the Use not approved memory setting, this setting will be displayed, but inactive. It is also not available in the Project Editor, so the setting cannot be changed in an existing project.

It enables you to set leveraged matches from not approved TM to done (Completed) during project analysis without the need to confirm them in XTM Workbench.

This setting will only apply for an active segment in an active workflow step, if the target segment (which has been promoted to leveraged match, while the Linguist was working in XTM Workbench) is populated automatically. For details, see the Leveraged match settings.

Set non-translatables as done

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Segment status settings). It is not available in the Project Editor, so the setting cannot be changed in an existing project.

It enables you to set non-translatable text to done (Completed) during project analysis without the need to confirm them in XTM Workbench.

If a segment is marked as non-translatable, while a Linguist is working in XTM Workbench, this setting will not apply.

If a Linguist translates a segment which, during project analysis, has been marked as non-translatable, this segment's state qualifier will still be Non-translatable.

Mark segment as locked

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the general Matches settings).

It enables you to automatically mark specified segments as locked.

Valid values are:

  • Match type is approved or not approved ICE and Leveraged – Segments populated with either approved or not approved In-Context Exact matches and 100% leveraged matches are locked.

  • Match type is approved ICE and Leveraged – Only segments populated with approved In-Context Exact matches and 100% leveraged matches are locked.

  • XLIFF:doc status >= Translated – Segments with Translated, Proofed and Validated XLIFF:doc statuses are locked. This option is available if the TIPP setting has been selected (for details, see General system settings).

  • XLIFF:doc status >= Proofed – Segments with Proofed and Validated XLIFF:doc statuses are locked. This option is available if the TIPP setting has been selected (for details, see General system settings).

  • XLIFF:doc status = Validated – Only segments with the Validated segment status are locked. This option is available if the TIPP setting has been selected (for details, see General system settings).

The default is specified in the system settings or customer settings.

Monitor target length

This setting enables Linguists to monitor the number of characters in the target segment. There are three options available which enable you to set the character limits of the target segment.

XTM Workbench controls the target length of a paragraph and not a sentence. These segments are separated by a dotted line in XTM Workbench. Thus, for example, when translating an Excel file, XTM Workbench controls the length of all the text in a cell or in an XML file all the text in an element.

Monitor target length

Target cannot be shorter than

This setting is displayed if you have selected the Monitor target length checkbox.

It enables you to enter a numeric value in one of the text fields to specify the minimal target paragraph length.

Note

XTM Cloud will use a relevant number of characters to insert whitespace characters between segments in the paragraph.

Example 17. Calculating number of whitespace characters needed in the paragraph

If your paragraph consists of 3 sentences, which means 3 XTM Workbench segments, and you set the minimal target paragraph length to 30 characters, the actual character limit for Linguist is 28 characters, as per the below calculation.

Minimum target paragraph length - (Number of segments in the paragraph - 1)

30 - (3-1) = 28


Mandatory if you have selected the Monitor target length checkbox and no value has been entered for the setting Target cannot be longer than.

Text field

Numeric

Entry is required for one of the these options:

  • Source less X %

    XTM Workbench calculates the character limits according to the number of characters in the source text minus a specified percentage.

  • Source less X characters

    XTM Workbench calculates the character limits according to the number of characters in the source text minus a specified number of characters.

  • X characters

    XTM Workbench only accepts paragraphs that contain a specified number of the characters, or more.

Target cannot be longer than

This setting is displayed if you have selected the Monitor target length checkbox.

It enables you to enter a numeric value in one of the text fields to specify the maximal target paragraph length.

Note

XTM Cloud will use a relevant number of characters to insert whitespace characters between segments in the paragraph.

Example 18. Calculating number of whitespace characters needed in the paragraph

If your paragraph consists of 3 sentences, which means 3 XTM Workbench segments, and you set the minimal target paragraph length to 60 characters, the actual character limit for Linguist is 58 characters, as per the below calculation.

Maximum target paragraph length - (Number of segments in the paragraph - 1)

60 - (3-1) = 58


Mandatory if you have selected the Monitor target length checkbox and no value has been entered for the setting Target cannot be shorter than.

Text field

Numeric

Entry is required for one of the these options:

  • Source plus X %

    XTM Workbench calculates the character limits according to the number of characters in the source text plus a specified percentage.

  • Source plus X characters

    XTM Workbench calculates the character limits according to the number of characters in the source text plus a specified number of characters.

  • X characters

    XTM Workbench only accepts paragraphs that contain no more than a specified number of characters.

Alternative translations

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Project type settings). It is not available in the Project Editor, so the setting cannot be changed in an existing project.

If your XTM Cloud Administrator disables the Alternative translations setting at system level, the setting will only be disabled in an existing project, if the relevant project has been reanalyzed.

With this option selected, XTM Cloud segments the source text according to system settings (paragraph based or standard segmentation) and it displays, in XTM Workbench, each source segment multiple times. There is a recommended translation followed by the set number of alternative translations, all of which can be completed by the translator. Each alternative translation has a field to enter a back translation.

Translators can use the comments section to enter the rationale for each translation. A reviewer can choose the required alternative translation and copy it from the alternative to the recommended translation. Only the recommended translation will be used to generate the target document.

The alternative translations report can be generated and downloaded from Project Editor. In the Files tab screen, select Preview > Excel > Alternative translations. This gives you an Excel file containing all the translations, back translations and comments on one sheet (for details, see the Project Editor: Files tab settings).

Alternative translations

Number

This setting is displayed if you selected the Alternative translation checkbox.

Use this text field to enter the number of alternatives.

Mandatory if you selected the Alternative translation checkbox.

Text field

Number between 0 and 100.

The default value is 1.

If you leave the text field blank, the default value will automatically be selected for your project.

Use Anonymization

This setting enables you to protect sensitive data during translation. Confidential data is converted into inline tags in XTM Workbench. You can use this setting to anonymize such data as:

  • proper names.

  • dates.

  • numeric values.

  • addresses details.

  • email addresses.

  • URLs.

  • phone numbers.

Automatic text anonymization in XTM Cloud is only supported for these languages:

  • Danish

  • Dutch

  • English

  • French

  • German

  • Italian

  • Spanish

  • Swedish

  • Portuguese

In the case of Microsoft Word source files that contain text whose style is "anon", anonymization will work for any language (for details, see Protecting sensitive data during translation in XTM Cloud).

Run Terminology extraction

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the Terminology options).

When you select this setting, XTM Cloud extracts a list of candidate terms as an additional process in the project analysis. The candidate terms are produced as an Excel spreadsheet. You can download it from the Project list by selecting the context menu icon bars-solid.png and then Download > Extracted terms (for details, see Reviewing Projects). Alternatively, open the relevant project in Project Editor and select the files_brand_refreshed.svg Files tab. Then, in the Source column, in the All files row, select the green download icon download_brand_refreshed.svg. From the dropdown select Extracted terms.

If your XTM Cloud Administrator enabled it at system level, but you have NOT selected this setting during project creation, you can still generate and download the candidate terms. However, in this case the process of extracting terms is only initiated at your request. You can generate and download it from the Project list by selecting the context menu icon bars-solid.png and then Download > Extracted terms (generate) (for details, see Reviewing Projects). Alternatively, open the relevant project in Project Editor and select the files_brand_refreshed.svg Files tab. Then, in the Source column, in the All files row, select the green download icon download_brand_refreshed.svg. From the dropdown select Extracted terms (generate).

TM language variant penalty profile

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the general Matches settings).

Any TM entry that matches the criteria in the penalty profile will be penalized and the modified match will be displayed in XTM Workbench.

Note

The TM language variant penalty profile supersedes the project TM penalty profile, but only works for language pairs in which at least one language is a variant language. If neither of the languages in a language pair is a variant language, the TM language variant penalty profile will NOT apply. In such case, the project TM penalty profile will apply, if it has been enabled on the project.

Example 19. Usage of the TM language variant penalty profile

If you have created a project with Japanese as a source language and German (Austria) and Korean as your target languages, the TM language variant penalty profile only applies to the Japanese => German (Austria) language pair. In the case of the Japanese => Korean language pair, the project TM penalty profile applies, if it has been enabled on the project.

Use approved terms only

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see Terminology options).

It enables you to only use terms with valid translations (Approved status) for your project.

Disable term decoration

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see Terminology options).

Use it to disable highlighting of terms found in the source language in XTM Workbench. You can still select a word and use the context menu to add it quickly to the Terminology.

Project requires proposal approval

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see Workflow options parameters).

When you select this option, XTM Cloud notifies Customer Project Managers about newly created project and requests their confirmation.

Use it to specify the source text word limit above which the project will require proposal approval.

Highlight segments populated with a language variant match

This setting is displayed if your XTM Cloud Administrator has enabled it at system level (for details, see the general Matches settings).

When you select this option, XTM Cloud highlights these segments in XTM Workbench where the populated match comes from a TM for a different variant of the target language.
