Generating and downloading project files

When all the steps in the workflow are completed, the target file is automatically generated. Files can be manually generated at any point during the process of translation.

Generates the latest version of the files at that time.


Downloads the file.


Displays the details and history of the generation of the files and allows you to download previous versions of the file.


Uploads a file.

In a project with multiple target languages, when you initially select the Files tab, you have the option to generate and download all the files in the project, or only the files that have been finished in the workflow.

To manage the files for a particular target language, select that language from the Target language dropdown, at the top of the screen. Now, you can generate and download all the files or only the finished files but this time it is for the specified language only.

When you select the gear icon cog-solid.png, the date and time of generation and the person who generated the file are displayed. If you select the info icon circle-info-solid_blue_navy.svg, a history of the generated files is displayed.

To download a file, select the download icon download-solid_green.svg , or the dustbin icon the dustbin icon trash-solid.svg to delete the history entry. The details of the most recently generated file are visible in each cell.

To download the source file, select the download icon download-solid_green.svg next to the source file name.

In the Project Editor > Files tab you can generate and upload files for:

  • Source:

    • Download source file.

    • Download reference material.

  • Target:

    • Generate target – generate the target file as it currently is. The target file is also automatically generated at the end of the workflow.

    • Generate target after step – generate the target file after a selected step in the workflow. The translation in the generated target will reflect the changes made up to this specific step.

    • Generate pseudo target – generate a pseudo target file where all the texts have been replaced by underscores. This allows you to quickly check that all the correct text has been extracted for translation.

    • Match rate color-coded target and Status color-coded target – for each source file it is possible to generate the target file where the text has been color-coded according to match rate or XLIFF:doc status, with the TIPP option enabled in configuration in the case of the latter (for details, see the General system settings topic).

  • Preview – depending on your source file, the following options are available:

    • PDF:

      • Document – a WYSIWYG view of the target file.

      • Source/target table – a source or target table where all the text from the same paragraph is in the same cell.

      • Paragraph view.

      • Extended table....

      • Match rate color-coded target.

      • Status color-coded.

    • HTML:

      • Document – a WYSIWYG view of the target file.

      • Source/target table – a source or target table where all the text from the same paragraph is in the same cell.

      • Extended table....

    • Excel:

      • Extended table....

      • Alternative translations – This option is displayed if it has been enabled by your XTM Cloud Administrator (for details, see Project type settings) and selected for the relevant project (for details, see Creating a project: Settings). This gives you an Excel file containing source text, recommendation (target text), alternative translations, back translations and comments (if available) on one sheet.

  • TMX – the TMX file is based on the project XLIFF file and contains all the TM matches for the project and the translated segments:

    • XLIFF.

    • Multi-File XLIFF – available when there are multiple source files. It creates one XLIFF file making the management off line translation easier.

    • TIPP – the Translation Interoperability Protocol Package (TIPP) is an information container that allows the seamless exchange of information between different independent Translation Management Systems (TMS).

    • XLIFF:doc – a file which can be opened in compatible programs such as MemoQ, edited and then uploaded again to XTM.

  • Offline translation:

    • Generate TIPP.

    • Generate XLIFF.

    • Generate multi XLIFF. – Use this option to download one XLIFF file for multiple jobs within the same language pair.

    • Generate XTM Excel Editor – download to use the XTM Offline Editor.

    • Generate PDF review.

    • Upload XLIFF.

    • Upload multi XLIFF.

    • Upload XTM Excel Editor.

    • Upload PDF review.

To upload project XLIFF files used in the Offline Editor:
  1. Select Project Editor > Files.

  2. Select the Target language.

  3. Select Offline translation > Upload file upload-solid_purple.svg > Upload XLIFF.

  4. In the Upload Xliff popup:

    • select Browse... button to find and upload the required file.

    • for the Select a workflow step parameter, select the required option.

    • for the Approve segment status for: parameter, select the Use XLIFF segment status option.

  5. Select Upload.

Generating color-coded target files

You can generate XML, Words, Excel or InDesign target files where the text is colored depending on the match type or XLIFF:doc status.

The colors are hard-coded, but XTM Support Team can customize them if needed.

Reanalysis of the project

When you want to add a new source file to an existing project or only update the source file already in translation, you can choose if an analysis of the project should be performed again. Before you decide to reanalyze your project, remember that reanalysis may introduce several changes to the existing project:

  • Metrics and TM matching will be calculated anew.

  • Target segment comments added in XTM Workbench will be deleted.

  • Workflow allocations will change for overwritten files.

  • Statistics will remain unchanged.
