Translation workflow

Make sure to add multi-language variations in HubSpot before sending off landing pages and blog posts for translation. Forms and emails do not require setting multi-language variations.

Once the content has been translated in XTM, you can access it directly from the HubSpot user interface. Check Importing content for detailed information.

Sending content to XTM for localization

XTM Connect - HubSpot users can send content for translation to XTM such as:

  • landing pages

  • blog posts

  • emails

  • forms

  1. Select the content you wish to send for translation. You can select multiple items.

  2. Fill in the required details in the Add content tab:

    1. Project Name

    2. XTM Customer

    3. XTM Template

    4. Source language

    5. Target language(s)

  3. Optionally you can select:

    1. Active XTM projects: You can only use this option if all preceding options are exactly the same as in the project already sent to XTM.

    2. Due date.

  4. Select the Send for translation button.

Sending multiple items

You can send multiple items for translation providing that the source and target language combinations are the same. Check Localization settings for detailed information on how to set the source and target language for different content types.

You can select content from several tabs at once and send them in a batch.

Translation queue entry statuses

The translation queue entry statuses table shows in detail the current step in the translation workflow. You can check the progress of translation and import translated content.

Processing multiple items
  1. Select multiple items.

  2. Select the required command from the Actions dropdown to process a batch. Depending on the status of the selected items, choose one of the following actions:

    1. Import

    2. Cancel

    3. Remove

Queue entry status

Explanation

Sent

Indicates that an item has been sent to XTM.

To cancel an item
  • Select the item, then go to Actions > Cancel.

In progress

This indicates that the project has reached XTM, and a workflow step has been started. The progress of the XTM job takes into account the percentage of finished segments and activated workflow steps.

To cancel an item
  • Select the item, then go to Actions > Cancel.

Cancelled

Indicates that a job has been cancelled or archived in XTM by a Project Manager.

To remove the item from the Translation queue
  • Select the ellipsis-v-solid.png icon, then select Remove.

Finished

Indicates that an item has been translated and is ready for manual import.

You have to import the entry manually:

Select the item and then the three-dot icon ellipsis-v-solid.png next to the Finished project, and select Import.

  • Select the item, then Actions > Import.


Importing content

You can access successfully imported content directly from the HubSpot user interface.

Accessing translated landing pages and blog posts
  1. In HubSpot, go to the Marketing > Website.

  2. Select the arrow chevron-right-solid.svg to access the language variant.

  3. Go to Marketing > Lead Capture > Forms.

Accessing translated forms
  1. In HubSpot, go to Marketing > Lead Capture > Forms.

  2. The language code is added at the end to the translated form:

my translated Form_fr

  1. In HubSpot, go to Marketing > Email.

  2. The language code is added at the end to the translated email:

my translated Email_de

In some cases, such as connection issues, you might have to import the translated content manually.

Check Translation queue entry statuses: Finished status.

Importing content manually

In some rare cases of connection issues, you'll have to import content manually.

Import single item manually
  1. Go to the Translation queue tab.

  2. Select the required item.

  3. Select the three-dot menu ellipsis-v-solid.png and choose Import.

Import multiple items manually
  1. Go to the Translation queue tab.

  2. Select the required items.

  3. Select the Actions dropdown angle-down-solid.png and choose Import.
